GENERAL DESCRIPTION:
Reporting to the Manager, Corporate Records and Policy, the Corporate Records Analyst analyzes client records systems to determine their information management requirements and coordinates the implementation of solutions and systems to meet those requirements. Primary responsibilities include:
Program Development: Assists the Manager, Corporate Records with overall program service delivery with direct involvement in daily operations and overall administration. Researches and assists with the development and implementation of departmental strategies, tools, administrative directives based on best practices for continuous improvement. The Corporate Records Analyst will assist in the research and review of the Corporate Records Classification System and Records Retention Bylaw (Taxonomy).
Departmental Advice: Acts as a departmental advisor to provide technical and functional guidance regarding policies, procedures, program implementation, and legislation to management and other staff as they relate to Corporate Records systems. This advice will ensure consistent, innovative, and legislatively compliant administrative guidelines, policies, procedures, and precedents.
Service Delivery: The analyst coordinates records conversion projects which will convert hardcopy clients’ files systems into the functional corporate records classification system (Taxonomy) and will examine and implement opportunities to improve clients’ records systems with the use of OpenText software’s document imaging, electronic records management, physical records management, workflow management and team collaboration tools. The Corporate Records Analyst will assist in coordinating records storage, retrieval and destruction requests from clients and will provide ad-hoc management consulting and training as required.
SKILLS REQUIREMENTS:
Candidates need to show evidence of the following:
- Knowledge of information and records management concepts, policies, standard, procedures and systems including information classification systems and taxonomies, records dispositions, and applicable legislation and policies.
- Strong analytical and research skills to design records classification systems and retention policies.
- Strong verbal and written communication and presentation skills along with demonstrated effective interpersonal skills.
- Excellent planning, organizational, project management, problem solving, and decision-making skills.
- Working knowledge of current and emerging office productivity tools (Microsoft Outlook, Word, Excel, PowerPoint, Access, Visio, Project, etc.)
- Negotiation and conflict resolution skills.
- Strong customer service focus.
- Ability to lift boxes up to thirty (30) lbs.
- Ability to work both as a team member and independently.
EDUCATION:
Degree in Records Management, Library Science or related discipline.
OR
- Diploma in Records Management or related discipline is required.
A Certified Records Analyst designation obtained through the Institute of Certified Records Managers is considered an asset.- An equivalent combination of education and work experience may be considered.
EXPERIENCE:
Minimum of two (2) years with a Degree.
OR
- Four (4) years with a Diploma of progressive responsible experience in records management with a focus on records analysis/design.
Experience working in a public-sector environment with unionized and non-unionized employees is considered an asset.
OTHER REQUIREMENTS:
Ability to provide a Criminal Record Check for review and acceptance.- A valid Alberta Class Five (5) operator’s license is preferred as incumbent may be required to operate a personal or municipal vehicle for business use.
- Clean driver’s abstract is considered an asset.
- Must be medically and physically able to perform all of the duties of this position on an ongoing basis.
