Reporting to the President & CEO, the Executive Assistant ensures overall coordination and delivery of administrative support to the President and CEO and the Foundation Management Team. This position acts as a liaison to the President’s Office, coordinating communication and administration with all internal and external stakeholders including the hospital, senior staff, volunteers and donors. The Executive Assistant will be required to regularly interact with the Board of Directors and provide ongoing assistance as required, with governance activities.

Reporting to the President & CEO, the Executive Assistant ensures overall coordination and delivery of administrative support to the President and CEO and the Foundation Management Team. This position acts as a liaison to the President’s Office, coordinating communication and administration with all internal and external stakeholders including the hospital, senior staff, volunteers and donors. The Executive Assistant will be required to regularly interact with the Board of Directors and provide ongoing assistance as required, with governance activities.
Contributes to the Foundation by
- Ensures the provision of prompt, accurate, confidential and professional services to the President & CEO, including the preparation of reports, correspondence and presentations.
- Acts as a secondary resource and back up to the Board Liaison role.
- Coordinates workflow to support a fast-paced and priority-driven work environment. This includes overseeing the coordination of meetings and events, travel arrangements, and registration for conferences/training.
- Manages the agendas, prepares meeting minutes, and provides overall administrative support to the Foundation Management Team
- Manages the President & CEO’s calendar and resolves schedule conflicts and issues.
- Serves as the primary point of contact for the President & CEO and Board of Directors for key internal and external stakeholders, including the Board of Directors, Foundation and Hospital staff, volunteers, donors, prospective donors, community leaders and government officials.
- Manages communication for the President & CEO and other members of the Foundation Management Team as required.
- Provides general office administrative support including payroll, arranging agendas and minutes for Management and Staff meetings, processing invoices, and managing office supplies and equipment.
What must you have?
- University degree or equivalent in an appropriate administrative discipline.
- Minimum of 5 years of demonstrated senior office administration experience in an Executive Assistant role, ideally in a not-for-profit organization.

- Professional, adaptable and proactive with a proven track record of providing excellent administrative support at a senior level.
- Professional demeanor and decorum, with the ability to effectively interact with key stakeholders including the Board of Directors, donors, prospective donors, the general public, and Foundation and Hospital senior management/leadership.
- Strong organizational skills, ability to multi-task and strong attention to detail.
- Proven ability to effectively prioritize workflow and consistently meet deadlines
- Experience and understanding of not-for-profit/hospital governance best practices.
- Advanced computer skills, including Microsoft Word, Excel, Outlook and PowerPoint. Experience in using Raiser’s Edge is an asset.
- Project management skills.
- Demonstrates understanding of contribution to donors and culture of philanthropy.
- Demonstrates behaviours consistent with Mackenzie Health Foundation’s values and mission.
- Commitment to providing an exceptional experience for staff and clients within a challenging and exciting environment.
- Proficient minute-taker with an ability to prepare high-quality, concise meeting minutes.
- Superior communication skills, both oral and written, combined with a customer focus approach and ability to respond to requests in a professional, diplomatic and tactful manner.
- Must have the ability to deal with highly sensitive issues in a confidential and professional manner.
- Strong decision-making ability.
- Ability to exercise good judgment, show initiative and be proactive.
- Proven attendance record.
