Summary:
The Office Administrator provides a high level of support to all departments and ensures that the Calgary corporate office functions efficiently on a daily basis. The successful candidate will be the first point of contact for employees and clients and will play an integral role in creating a welcoming environment for the organization.
Schedule:
- This position holds normal business hours, and will require in-person presence at our Calgary office from Monday to Friday
Duties & Responsibilities:
- Greet guests and manage calls.
- Support the planning and coordination of corporate meetings and events.
- Maintain office services, including managing office and kitchen supplies inventory and ensuring office equipment is operational.
- Act as facilities liaison to coordinate building requests, access cards and schedule any maintenance.
- Process and distribute incoming mail and courier packages sent out, both domestic and international deliveries.
- Coordinate IT equipment for new and existing employees including the set up and management of office and mobile phones as well as computer hardware requests.
- Assist with invoicing and the processing of expense reports.
- Initiate new office procedures and continuous improvement of business processes as required and serving as a key contact point for employees and suppliers.
- Create and update existing print and online directories.
- Maintain and update the MSA (master client list).
- Assist other departments with projects as required.
Requirements
- Post-secondary education in Business Administration or Administrative Office Assistant preferred, with 3-5 years of dynamic administrative experience.
- Advanced skills in MS Outlook, Excel, Word and PowerPoint
- Welcoming, positive "can-do" attitude.
- Excellent communication skills both verbally and in writing
- Self-starter with the ability to work without immediate day-to-day supervision.
- Ability to multi-task a variety of projects under pressure and tight deadlines.
- Demonstrates strong attention to detail.
