Program Coordinator Job at Big Brothers Big Sisters of Humboldt
Position Scope
- The Coordinator will be responsible for providing direct service to children, youth, families and volunteers in Big Brothers Big Sisters of Humboldt programs following the National Standards as specified by Big Brothers Big Sisters of Canada.
- The Coordinator will also develop and steward partnerships with other agencies, schools, funders, and sponsors.
Position Reporting
- The position will report to the Manager of Service Delivery (MSD) for service delivery functions and to the Chief Executive Officer (CEO) of Big Brothers Big Sisters of Saskatoon and Area, Inc. for all other functions.
Major Responsibilities
Service Delivery
- Actively recruit, screen and maintain adult volunteers or mentors to be matched with children and youth in order that
- The program objectives are met
- The development of friendship, activities and mutual respect is fostered
- Maintain and provide service to volunteer / child matches,
- Intake applications from children and volunteers, including orientation, interviewing, home visits, screening and regular progress reports.
- Inform families of acceptance or denial of service.
- Responsible for informing volunteers whose applications are not accepted, of the decision to reject them as volunteers.
- Provide service to Waiting Mentees.
- Responsible for the closure of volunteer and child files.
- Complete the volunteer, family, and child exit interviews.
- Plan and supervise group activities of volunteers and children as needed.
- Preparation of all administrative forms including notes, statistical recording, and program support.
- Ensure data input and the updating of data and other reporting/record keeping is being done in a timely and efficient manner as specified in the Standards of BBBSC.
- Comply with National standards, contracts, licenses and applicable legislation. Ensure all necessary documentation related to the program/project is in place.
- Maintain confidentiality of all files and information regarding families, volunteers, staff, and Board.
- Orientate and train volunteers as necessary and support committee and volunteer coordinators.
- Perform other duties as assigned.
Program Development
- Will have input in the development, implementation, and evaluation of present and potential programs.
Partnership Development
- Make referrals to other organizations and agencies that may provide beneficial services to families.
- Liaison with schools, other youth service agencies, community groups, clubs, participants, volunteers, and the public in general.
- Work with media and other promotional activities, as required. Assist in the development of print materials associated with the program.
- Attend and represent the BBBSS agency and programs as required at meetings and evening functions of related organizations.
Fundraising
- Ensure adequate financial support from the community to sustain the BBBSH satellite program.
- Develop and steward relationships with funders and event sponsors.
- Along with other agency staff, plan and attend fundraising events.
- Annual plans for this will be reviewed with the CEO.
Volunteer Recruitment
- Represent BBBSH at career fairs and recruitment presentations.

Job Related Competencies
- Shall have specific training in understanding human growth and development, appropriate life experience and interpersonal skills. A degree in the areas of child and youth care, family studies, volunteer management, education, sociology, psychology, social work, or Indian social work. Two-year diplomas in those areas including Saskatchewan Indian Institute of Technologies’ Mental Health and Wellness Program Diploma will also be considered where there is relevant lived and / or work experience
- Must practice using the following perspectives: strengths-based, trauma informed, anti-oppressive, youth-centered, relationship-based, culturally competent, and holistic approaches
- Experience in volunteer recruitment & management, program development, implementation & evaluation, and public relations would be an asset
- Experience working with Indigenous peoples and communities.
- Research: Stay up to date on current research on client demographics.
- Public speaking skills: Must be comfortable speaking in front of groups both within the agency (staff meetings, training, group activities) and outside (presentations, career fairs)
- Group Facilitation: Must be willing to plan activities and lead them. Must respond to group dynamics and individual behaviors to ensure successful activities for all those involved.
- Financial Literacy: Must understand financial documents, be able to budget, and write reports based on these.
- Must demonstrate strong organizational skills, with the ability to plan, set priorities and meet timelines consistently.
- Must have a working knowledge of Office 365 programs.
- Must have assessment skills and flexibility as needed for successful program management.
- Must interact well with children, youth, and adults and have knowledge of community resources.
- Must be resourceful, self-starter, the ability to manage multiple projects and able to work with minimum supervision.
- Must have a valid Driver’s License and access to a reliable vehicle
