Job Summary
The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Postgraduate Site Administrator – Halifax Site, the Site Residency Education Scheduler will administer and coordinate all clinical learning experiences (rotations) and academic curriculum for the Department of Family Medicine’s postgraduate teaching program for approximately 40 Halifax based residents as well as other specialty or external Family Medicine (other sites) residents doing electives.
Key Responsibilities
- Serve as the principle contact and primary resource for all rotation scheduling or clinical learning experiences for Halifax-based residents in the Department’s residency program as well as any visiting, elective or non-family medicine resident clinical learning experiences for/within the Halifax site.
- Coordinate all clinical learning experiences in Family Medicine for Postgraduate Year 1 and Postgraduate Year 2 residents. Prepare/revise, follow-up and communicate any changes to all related schedules.
- Plan, coordinate, setup, support, and facilitate, as directed by the Halifax Site faculty Curriculum Coordinator, for curriculum sessions for the residents at Halifax Site’s academic days. This includes both in-person and online audiences.
- Ensure scheduling meets Department requirements as well as the requirements of the College of Family Physicians of Canada, Dalhousie Postgraduate Medicine guidelines and the Maritime Resident Doctors contract.
- Facilitate the evaluation processes for assessment of service, faculty and residents. Configure evaluation forms to be sent automatically through One45 scheduling and evaluation software.
- Update and maintain scheduling and evaluation data. Enter and maintain clinical rotation scheduling, ensuring accuracy. Provide updates regarding scheduling or capacity problems or conflicts.
Note
Hours of work will be determined based on operational needs, however, these may vary within the normal working hours of 8:00 am – 5:00 pm depending on workload and meeting requirements. Work hour flexibility will be required weekly due to curriculum support responsibilities. Scheduling and compensation will be in accordance with the collective agreement.

Required Qualifications
- Business/Office Administration diploma plus approximately three to five years’ relevant work experience (or equivalent combination of training and experience).
- Strong interpersonal and communication (verbal and written) skills.
- Excellent organizational skills and attention to detail including the demonstrated ability to multi-task and use initiative in a team environment.
- Strong computer skills, including webinar and online conferencing systems, e-mail management, and MS Office suite (Excel, Word, Access) with advanced expertise in Excel.
- Demonstrated ability to learn new software programs.
Assets
- Previous experience with or knowledge of Brightspace, DalMedix, One45, hospital IT systems and/or Dalhousie Medical School.
