Training and Event Coordinator Job at Ontario Electrical League - Head Office
Ontario Electrical League (OEL) is a not-for-profit association, with a goal to promote, strengthen and represent the Electrical Industry in Ontario. We are currently hiring for the position of a Training and Event Coordinator for an in-office position with occasional travel. Flexible schedule required.
We are looking for someone with 2-5 years’ experience in event planning and coordination. The ability to multi-task, while managing your own work, with independent individual schedules is essential to this position. You need to be resourceful, a good problem-solver and extremely organized. Efficient and comfortable taking direction from multiple team members. Professional, with the ability to adapt quickly to changing conditions and have a gift for putting together amazing fund-raising events. Outstanding ability to communicate with all levels/stakeholders while fostering constructive interpersonal relationships.
Responsibilities
Training Coordinator:
- Research local facilities throughout Ontario and organize event’s logistical details (virtual and in in-person) while working with OEL member services team.
- Identify training needs of members
- Develop Program Partners to facilitate training.
- Use own creativity to market and promote meetings and training
- Assist with the planning meetings for virtual and in-person events
- Organize the registration of participants, prepare programs and promotional materials, and publicize events
- Assisting Program Coordinator with the collection of forms and paperwork from participants of any and all special programs
Event Planner:
- Duties include choosing vendors and entertainment for events, letting people know about upcoming events through invitations, flyers, or social media, and making sure that attendees enjoy themselves.
- An understanding of the Trades industry and what would be preferred for fundraising events is an asset
- Event planning will also include recruiting, and managing volunteers, sponsors and donations
- Ability to manage a budget
Other Administrative Duties:
General administrative responsibilities including but not limited to managing calendars, swag inventory, tracking and updating excel tracker routinely.
Essential Skills:
- Excellent planning and organizational skills combined with the ability to multitask and good time management skills
- Ability to travel across the province of Ontario for various events
- Ability to work in a fast-paced work environment and should be able to deliver results, even when required to work under tight deadlines and pressure
- Excellent communication skills and the ability to interact with a diverse range of people including volunteers of OEL
- Exceptional interpersonal and negotiation skills
- Problem solving skills, creative, experimental skills with positive attitude and energy
- Ability to work with minimal supervision
Qualifications:
- Be legally entitled to work in Canada in accordance with relevant Ontario legislation and regulations.
- Relevant education in event planning and training coordination is considered an asset
- Experience in organizing large and small events including fundraising events
- Excellent written and verbal communication skills
- Outgoing, positive, personality that takes initiative and is proactive
- Comfortable with public speaking, connecting and building relationships with all stakeholders
- Proficient in Office Suite (specifically excel, word, outlook, PowerPoint)
