Job Summary
The Office of University Legal Counsel is responsible for managing the university’s legal affairs, provision of counsel to senior officers, and administrative and academic units on a wide range of legal issues affecting university programs, activities and operations. The University Secretariat is the administrative office responsible for ensuring the effective and efficient operation of Dalhousie University’s bicameral system of governance, comprised of the Board of Governors, the Senate and their respective committees. Reporting to the Office Administrator in the Legal Counsel Office, the Clerk will provide administrative and secretarial support to the Legal Counsel Office and the Associate Secretary, Board of Governors (ASBG).

Key Responsibilities
  • Performance of daily operations including scheduling of meetings and conference/teams calls, answering and directing telephone calls, handling routine incoming and outgoing correspondence.
  • Handle meeting/event logistics and arrangements for Board and committee meetings as needed.
  • Make travel arrangements as directed for staff and Board members, process expense and travel claims for review and approval.
  • Assist ASBG with management of university policy repository and website administration for as requested.
  • Order and maintain office supplies for entire unit. Coordinate deliveries/couriers and photocopying and binding documents.
  • Manage off-site file storage and retrieval and perform other duties as required.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.

Required Qualifications
  • Diploma in business, office or health administration, with approximately two to three years’ related experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word, Excel, and PowerPoint).
  • Proficient working knowledge of website management.
  • Strong communication and interpersonal skills.
  • Ability to work independently, be highly organized and to prioritize work.

Assets
  • Website maintenance experience.
