Reporting to the Customer Service manager, the Customer Service Supervisor is responsible for the day-to-day activities, focusing on all aspects of customer satisfaction as well as the supervision of our three Customer Service representatives. This person will work closely with species and dealer sales managers, logistics and manufacturing. The goal is to run the department in an efficient and profitable manner, to increase customer satisfaction, loyalty and retention.

KEY RESPONSIBILITIES

Coordination and cooperation in the handling of orders, concerns/questions from customers, so that the department realizes timely, accurate and efficient handling and the OpCo achieves optimal customer satisfaction and the sales targets.

Team management

  • Hire, lead, and coach team. Ensure an effective structure and adequate staffing of the department in order to deliver results and nurture a positive and learning culture
  • Coordinate and supervise the activities and work of the team to ensure that all work is carried out in accordance with operating procedures and policies

Sales and Sales Support

  • Prepares tenders and quotations, liaises with other departments, particularly Sales, Purchasing and Finance & Administration and also with haulage companies
  • (Re)negotiates contracts with customers for renewals regarding price, specifications and delivery, in order to meet volume, quality and price requirements

Customer Support: Monitor the implementation of the helpdesk function to quickly and adequately advise customers and to support and promote customer satisfaction

Continuous Improvement and Optimization: Focus on the efficient running of the business, contributing to more effective and efficient processes, techniques and systems

Commercial administration and data management

  • Preparation and modification of pre-, post-and recalculations; billing, preparation of monthly reports
  • Ensure proper collection, entering and verification of all data and information from customers, ensuring proper archiving
  • Update product data in the relevant systems
  • Check product specifications, labels and documents on consistency and coordinates with customers for correct documentation
  • Inform Quality Control Department of the state of supplier audits and provide advance guidance on areas customers wish to review

PREFERRED HIRING CRITERIA:

  • Post secondary education: BA Business preferred.
  • 5-10 yrs experience in a similar role with a minimum of 2 years in a Supervisory role.
