Medical Office Assistant- virtual Job at West Coast Adult ADHD
Our clinic is looking for a highly organized medical office virtual assistant to join our Adult ADHD clinical team. We are 3 nurse practitioners and 5 therapist who specialize in assessing and treating adult ADHD.
The successful candidate will work 4-5 hours per day Monday to Friday offering email support, booking appointments, providing information about our theraputic programs, tracking all work flow processes, putting payments through, communicating with doctors offices, patients, and staff from our clinic and transcribing reports. You will act as the hub of clinic orchestrating, planning, and managing all office proceedures. You will ideally grow with our clinic and move into a more full time position as the clinic grows. Benefits package offered after 6 months and if working full time hours.
Qualifications
- Administrative Assistant: 1 year (Required)
- Receptionist: 1 year (Preferred)
- MOA Certified (Preferred)
- Highly Organized and able to create systems
- Three (3) years recent clinical medical office support experience or an equivalent combination of education, training and experience
Knowldge and Abilities
- Working knowledge of clinical policies, procedures and objectives.
- Ability to work independently and proactively
- Capable of multitasking in a fast-paced environment
- Excellent English language skills (both spoken and written)
- Ability to establish priorities, work independently and proceed with objectives with minimal supervision
- Ability to exercise accuracy, confidentiality, tact, and discretion
- Strong computer literacy and proficiency (MS Office, EMR software experience an asset)
- Efficient with strong time management skills, organizational skills and the ability to prioritize independently.
- Outstanding interpersonal and communication skills both verbal (written, phone, and in-person)
- Strong customer service skills (working with difficult clients including conflict resolution)
- Strong task prioritization and organizational skills
- Business writing skills.
- Mail Chimp, Canva, Power Point, an asset.
- Knowledge of medical terminology.
- Ability to respond independently and effectively to emergent situation and effectively present health information to individuals.
- Ability to keyboard 5,000 keystrokes per hour.
- Exceptional customer service and communication skills.
- Demonstrated ability to work independently and within a team.
- Ability to prioritize and organize workload and meet deadlines.
- Demonstrated ability to establish and maintain satisfactory work relationships with clients and staff.
- Ability to deal tactfully and effectively with coworkers, clients and staff from other agencies.
- Demonstrated skill in using a variety of office equipment and computer software programs including Jane app, Google and Gmail. Advanced skills in Microsoft Office Suite, experience with Google workspace an asset
Job Types: Part-time, Permanent
Part-time hours: 20-25 per week
Salary: $25.00-$35.00 per hour
