POSITION PURPOSE

Our Staff Care Manager exists to assist the Director of Staff Care in cultivating a workplace full of thriving staff members. They help to develop, implement and support policies and processes that enable and empower the employees of Catch The Fire to accomplish amazing things. They will work towards improving the staff experience through administration, policy management and relational strengths while properly balancing the needs of the employees and the needs of the organization. Staff Care is key in providing solutions to workplace issues that support and optimize the values of Catch The Fire Toronto.

POSITION ACCOUNTABILITIES

Key accountabilities and responsibilities for this role:

Staff Experience & Administration

  • Maintain staff records in the HRIS system for CTF Toronto and World (CAN) (Employee personal information, time off, salary and contractual changes, etc.) on a day to day basis with accuracy, discretion and confidentiality. Coordinate with relevant stakeholders to verify information is accurate for payroll processing.
  • Complete on-boarding of new staff, staff changes and exit of staff from the organization with professionalism and excellence. Create processes and practices that help new and migrating staff to acclimate well and set them and their managers up to thrive in their new roles.
  • Prepare documentation needed by management and staff, including contracts, employment letters, immigration letters, etc.
  • Complete all administration for hirings at Catch The Fire Toronto. Manage the postings, communication with applicants and coordinate interviews. Assist management with job descriptions and interviewing as needed.
  • Answer staff questions regarding human resources issues, systems and processes with accuracy.
  • Maintain physical records with confidentiality and accuracy, manage documentation filing on a day to day basis. Digitize our files with accuracy and security.
  • Coordinate and maintain health and dental plans for all staff. Assist staff with queries related to the health and dental plan.
  • Alongside and as directed by the Director of Staff Care, work through staff disputes, concerns, questions and complaints with tact, sensitivity and professionalism to bring situations to a positive relational close.
  • Assist the Staff Care Director with the planning and coordination of Staff events, such as team building, development and celebrations.

Compliance

  • Monitor operations to ensure compliance with Employment standards & Catch The Fire Toronto's policies.
  • Maintain and ensure policies are updated regularly in cooperation with the Director of Staff Care. Work closely with the Director of Staff Care and Senior Leadership to regularly improve policies for staff.
  • Collaborate with the Safeguarding administrator to ensure that staff and key volunteers are up to date with safeguarding requirements and aware of best practices.
  • Collaborate with Facilities to ensure the work environment meets Health & Safety standards and staff concerns regarding safety are addressed.

Insurance & Liability

  • Complete insurance renewals for Catch The Fire. Act as the main point of contact to insurance brokers. Review and update insurance policy on a regular basis based on events, conferences or staff requests.
  • Review insurance coverages and premiums on an annual basis to keep Catch The Fire in best standing.

Ad Hoc

  • Additional projects as requested by the Director of Staff Care.

POSITION QUALIFICATIONS

Key educational and experiential qualifications for this role:

  • Highly detail-oriented, able to work independently and multitask.
  • Passionate, approachable and proactive.
  • A high value for confidentiality and discretion
  • A passion for people and a relational approach. Enjoy interfacing with staff at all levels.
  • Excellent skills in verbal and written communication.
  • Experience in training and public speaking through verbal and visual presentation.
  • Graduation from the Catch The Fire School of Ministry a strong asset.
  • 1-2 years of experience in human resources is preferable.
  • A high school diploma.
  • Agree with and live in accordance with Catch The Fire Statement of Faith.

Conditions:

  • 90 Day Probationary Period.
  • Applicants must have the legal right to work in Canada.
  • Employment is conditional upon a clear police reference check.
  • The successful candidate must be able to submit to Catch The Fire's Code of Conduct.
  • On-site presence in the offices is an important component to this role, as there needs to be clear availability and accessibility to staff.
  • Some travel may be required to attend training and industry related events.
