Position Summary
Reporting to the Team Leader and working in a team environment, the Administrative Assistant will be responsible for providing a variety of duties from multiple programs with varying degrees of eligibility and policy requirements.
Specifically, the Administrative Assistant will provide administrative support to the Medicare team, including the MSI Medical Consultant, MSI Medical auditors and the NSPP Leadership Team.

This position can be full-time in our Dartmouth, NS Office location or a Hybrid (work from home & office) with the requirement of being in the office 2 days per week.
The work hours are flexible and can be either 8:00am-4:00pm or 9:00am- 5:00pm, Monday - Friday (Atlantic Time).

Key Responsibilities
  • Provide administrative support to the MSI Medical Consultants, including the preparation of all correspondence related to pre-approval decisions.
  • Responsible for opening, preparing and distributing mail for the Medicare Departments
  • General administrative duties including, filing, scanning, faxing, etc.
  • Responsible for creating and maintaining spreadsheets relating to all physician requests that require patient pre approval by the MSI Medical Consultants.
  • Responsible to provide assistance to update departmental procedures.
  • Provide admin support to the greater NSPP department as required.
  • Communicate with Physicians and NS residents through oral and written communication
  • Request and file medical records accurately and efficiently.
  • Provide support for the patient service verification process.
  • Establish and maintain effective working relationships with other internal operational areas.
  • Prepares materials for off-site storage, maintaining storage records and arrange for removal to storage site. Recall of materials as requested
  • Provides other duties as required to support the NSPP business areas, which may include data entry, checking phone lines for voicemail and recording messages for return, organizing materials for mail outs, assisting with preparation of mail outs.

Required Qualifications
  • Highly effective listening skills to ascertain customer’s needs, and determine appropriate action required for solution.
  • Excellent verbal skills for explaining complex issues to customers.
  • Excellent written communication skills.
  • Excellent computer skills

Education: Post secondary training in business and/or administration with a minimum of three years relevant work experience. Medical Terminology an assest
Work Experience: Work experience within an office environment would be considered an asset

Other Qualifications:
Computer Skills: Experience working with multiple software applications (Word & Excel) including experience navigating between applications and the internet. Strong keyboarding skills and the ability to enter data with speed and precision.
Language Skills: Bilingualism would be considered an asset, English is mandatory.
