Opportunity:
Are you looking to build your work experience and develop transferable skills? Ontario One Call is hiring summer inters to provide administrative support for multiple departments to assist with the peak season workload. Tasks include answering calls, responding to emails, triaging information requests, preparing reports, compiling data, filing and sorting information and more.
These are hourly contract positions starting April 24, 2023 and ending September 2, 2023. Successful candidates must be willing and able to work 35 hours per week, during regular business hours, with wages starting at $23.00/hour.
Compliance Assistant
The Compliance Assistant supports the Ontario One Call Compliance Team by providing excellent customer service to our many stakeholders and assisting Compliance Investigators & Administrators by gathering, authenticating, and preparing complaints, notices, and reports. Conduct research and comparison activities through best practice survey and studies. Providing administrative support to the Compliance Team for the purpose of implementing positive compliance outcomes.
Reporting to the Director of Compliance & Industry Performance, this position is located at our head office at 104 Cooper Drive in Guelph, Ontario.
Primary Responsibilities:
- Manage phone calls and correspondence for the team
- Provide information to external stakeholders or transfer matters not related to compliance to other teams
- Assist in the planning, coordination, and preparation of meetings, conferences, and events
- Assist the Compliance Team and legal counsel to support complaint and investigation outcomes by preparing files, letters, and documents
- Provide administrative support to the Compliance Team:
- Database maintenance, record keeping and auditing
- Assist Investigators with investigations, research, and communications
- Assist Administrators with reporting building, planning, and generation
- Gather, authenticate, prioritize and prepare complaints for Investigators to review and action. Complaints are collected over the phone and electronically using a risk-based, non-biased approach
- Support compliance activities and special projects, as required
- Assist the Training & Education Team with the development and implementation of public education material to support continuous improvements, changes, and enhancements
- Assist the Communications Team with the planning and development of communications to members, excavators, and stakeholders as it relates to compliance
- Research to compare Ontario One Call to other jurisdictions through best practice survey/study
- Other duties as assigned
Qualifications:
- Actively enrolled in a, or graduate from, post-secondary education in compliance, regulatory, law, paralegal, business administration, or related program
- Customer service orientation – a desire to identify and service stakeholders who may include the public, colleagues, partners, co-workers, peer agencies, and personnel of the Ontario Public Service
- Good analytical, research, and problem-solving skills to gather evidence and information to support the Compliance Team
- Highly organized with strong file management skills (gathering and managing documents in an intricate electronic database with a high degree of accuracy)
- Strong time management, ability to meet deadlines and adapt to a fast-paced environment with priorities constantly changing
- Ability to work independently as well as participate and function effectively on a team
- Strong communications skills, with the ability to communicate effectively and efficiently, both verbally and in writing, to diverse audiences
- Excellent computer skills, proficiency with MS Office Suite products and ability to learn new software would be a great asset
