Job Summary:

Reporting to the President & CEO, the Senior Executive Assistant (Sr. EA) works closely with the President & CEO to provide executive support and ensures they are kept well informed regarding meetings, events, commitments and other responsibilities, including following up as necessary. The Sr. EA schedules meetings, makes travel arrangements, prepares letters, briefing notes and reports, and liaises with staff, the Board of Directors and other stakeholders as necessary. The Sr. EA is also responsible for ensuring an appropriate records management system is established and maintained for all executive related documentation and information.

The Sr. EA also acts as the Corporate Clerk for the Board of Directors and related Committees, responsible for scheduling and arranging meetings, recording and disseminating meeting minutes, and preparing and disseminating resolutions as well as ensuring timely completion.

Other related duties include scheduling and arranging Annual General meetings and ensuring corporate reporting and other related requirements are met in a timely manner.

This position is based in Westbank, BC and travel for meetings and events will be required from time to time.

Primary Job Responsibilities:

  • Serving as the liaison between the office of the President & CEO and internal staff, itsborrowing members, First Nations governments, investors, and other stakeholders
  • Scheduling, coordinating, and managing meetings for the President & CEO
  • Receiving incoming mail; reviewing and distributing according to priority
  • Preparing meeting notices, agenda items, and minutes: Senior Management, Staff, Board of Directors, Members, Sub-Committees and filing appropriately
  • Preparing and circulating correspondence to the Board of Directors and Sub-Committees on behalf of the President & CEO and filing appropriately
  • Supporting the President & CEO in determining action items and following up with the senior management team on deliverables as necessary
  • Preparing Board of Directors meeting schedules and agenda items for the year, including Annual General Meetings
  • Managing and maintaining an appropriate records management system for all related information related to the President & CEO’s office and the Board of Directors, including corporate filing documentation
  • Other related job duties as may be required

Who Can Apply:

  • Degree or Diploma in Business or Office Administration, or similar field of study
  • Minimum 5 years’ related experience supporting Senior Management positions
  • Advanced oral and written communication skills
  • Previous experience with handling sensitive and confidential matters
  • Superior time management and multi-tasking skills, and the ability to prioritize tasks with minimal supervision
  • Professional, responsive, positive and collaborative work attitude is essential
  • Resourcefulness, adaptability, and flexibility
  • Records management systems maintenance experience
  • Strong verbal and interpersonal skills for interacting with the executive team and staff
  • Customer-centric service orientation
  • Intermediate to advanced computer skills including Microsoft Office programs (WordPress is considered an asset).
  • English is the working language, however, the ability to work in French or a First Nation language(s) is an asset
