Operations Director

3motionAI is a human performance technically company delivering data insight to its partners leveraging videos captured using smart phones. We are looking to grow our team by adding an Executive Operations Manager/Bookkeeper who will become the first point of contact for clients, staff and vendors. With a winning mentality and strong inter-personnel skills, the Executive Operations Manager serves as a liaison between clients and the corporation, looking to ensure the needs of the clients are met and that the company is able to fulfill those requirements. The requirement for a strong attention to detail and multi-layered understanding of problems, numbers, and concepts is required.

This role is one that evolves over time. The successful candidate for this role will have opportunities to be trained to take over additional roles within the company, including project management opportunities.

Responsibilities:

  • Manage accounts receivable, including issuing invoices, collecting payments, and reconciling customer accounts.
  • Process payroll, including calculating employee hours, generating paychecks, and preparing payroll taxes.
  • Maintain accurate financial records using QuickBooks accounting software, ensuring that all transactions are recorded correctly and on a timely basis.
  • Reconcile bank statements and credit card statements on a monthly basis.
  • Assist with the preparation of financial statements and other reports as needed.
  • Communicate with vendors and customers regarding billing and payment issues.
  • Assist with other accounting duties as assigned.
  • Manage expenses and process reimbursements for all employees.
  • Maintain strong organizational skills when handling company client information.
  • Follow up with clients at pre-determined intervals in order to ensure their satisfaction is maximized.
  • Leader in the office, cross-coordinating across departments and leading the organization.
  • Help with optimizing company operations, policies.

Requirements:

  • Bachelor's degree in accounting, finance, or related field
  • 3+ years of experience in bookkeeping or accounting
  • Strong understanding of accounting principles and practices
  • Experience with QuickBooks
  • Proficient in Microsoft Office, particularly Excel
  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Ability to maintain confidentiality and exercise discretion
  • Strong problem-solving skills and ability to think critically
  • Previous experience providing administrative support to senior executives is preferred
  • Manage accounts payable, including processing vendor invoices, scheduling payments, and reconciling vendor statements

The perfect candidate:

  • Fluent in English (French is a benefit not a must)
  • 5+ years in a Canadian financial institution as a office manager/bookkeeper
  • Previous experience with HubSpot CRM (preferred, but not required)
  • A post-secondary accounting/bookkeeping graduate of a Canadian college/university
  • Ambitious in nature, always wanting to make the most out of their working environment.
  • At least 50 WPM typing ability
  • Strong ability to work under pressure and be able to prioritize work based on requirements pre-defined by the organization or by the Office Manager themselves
  • An academic mindset, wishing to constantly learn and continue to become a stronger Office Manager every day.

Compensation Package (Salary):

  • $66,000 - $85,000
  • Performance bonus
  • Stock options

Working Hours:

  • Monday To Friday
  • 8:30am - 5pm
  • Occasional Weekends As Required
  • Occasional Evenings As Required

Experience:

  • Bookkeeping: 2 years (required)
  • Financial services: 1 year (preferred)
  • Office administration: 2 years
  • Executive assistance: 1 year (preferred)
